A practical walkthrough of the ESIC registration process — documents needed, portal steps, and timelines.

ESI registration is mandatory for establishments with 10 or more employees. The process is entirely online through the ESIC portal, but requires careful document preparation to avoid rejections.

When does ESI apply?

An establishment becomes liable for ESI when it employs 10 or more persons (in some states, 20 or more). Employees earning up to ₹21,000 per month are covered.

Documents required

You'll need: Certificate of Registration/Incorporation, PAN of the establishment, address proof, bank details, a list of employees with their Aadhaar numbers, and details of the principal employer.

The registration process

Visit the ESIC portal and fill the Employer Registration Form (Form 01). Upload all required documents, pay the advance contribution, and submit. The ESIC typically issues the registration number within 7-14 days.

Apply for registration within 15 days of becoming liable. Late registration attracts penalties and the employer becomes liable for all contributions from the date of applicability.

After registration

Once registered, generate IP numbers for all eligible employees, file monthly contributions by the 15th, and submit half-yearly returns (Form 5) within 42 days of each contribution period.
